You will check outstanding PODs through the QDocs reporting process and follow up with drivers and the Dispatch team where documents are missing.
PODs that remain outstanding for more than three days must be escalated to the Distribution Manager and General Manager.
You will also need to complete processing for the previous day by 11:00 the following morning.
What will you reconcile each day?
Invoices, claims and PODs need to balance.
You will compare quantities across the documents, investigate differences and follow up where something does not match.
This means attention to detail is essential because incorrect quantities or missing documents can affect customer accounts and financial records.
Will you work with credit notes?
Credit-note processing is a major part of the Durban position.
You will:
- Capture credit notes daily
- Match them to supporting documentation
- Attach generated credit notes to the relevant claims
- Check 3C and 4C credit notes
- Make sure JDE entries agree with the physical slips
You will also need to report pricing differences as soon as they are identified.
Which systems will you use in the finance position?
The work includes QDocs and JDE.
QDocs is used to manage and track documentation such as claims and PODs.

What will you do as a Despatch Clerk?
The Pietermaritzburg Despatch Clerk supports the movement of stock from production into dispatch and then onto delivery routes.
You will also supervise a team of dispatch truck loaders.
Your work will include:
- Checking stock from the previous shift
- Monitoring stock movements
- Making sure loads are accurate
- Completing stock counts
- Managing crate movements
- Printing loading sheets
- Directing loaders
- Processing cash sales
- Updating stock transactions

Reusable crates also need to be tracked accurately.
You will help manage crate movements through JDE and report any discrepancies.
Good crate control helps the business account for reusable transport assets and prevents avoidable losses.
Will you manage truck loading?
You will print loading sheets and tell loaders which stock needs to be pulled and in what order.
This requires good organisation because the correct stock needs to reach the correct vehicle and delivery route.
The role also involves supervising dispatch truck loaders, so you should be comfortable giving clear instructions and monitoring work.
Will you handle cash transactions?
The Despatch Clerk also performs some transactional duties.
You may need to cash up cash sales and make sure the amount balances with the relevant invoices.
This adds a financial-control element to a position that is otherwise heavily focused on stock and dispatch.
What qualifications do you need for the Despatch Clerk position?
You need:
- Grade 12 or NQF Level 4
A tertiary qualification in Supply Chain Management will be welcomed but is not listed as compulsory.
Previous dispatch experience is required.
Experience in FMCG, customer service or JDE will be advantageous.
